HVAC service call checklist

A consistent HVAC service call protects your techs, your customers, and your reputation. Use this checklist on every diagnostic, repair, and maintenance visit so the work is documented, the customer is informed, and the invoice goes out the same day.

On arrival

  • Confirm the customer, address, and reported issue
  • Note the equipment: make, model, serial, age, location
  • Photograph the unit and the nameplate before work
  • Ask about symptoms, history, and any prior repairs

Diagnostic

  • Check thermostat operation and settings
  • Inspect filter, coils, drain line, and electrical connections
  • Measure temperature split, refrigerant pressures, and amp draw
  • Identify the root cause, not just the symptom
  • Document findings with photos and readings

Before doing the work

Present the repair option(s) with clear pricing and get the customer's approval before you start. Capturing that approval on-site — with a signature — protects you from disputes and is the moment to offer a maintenance plan. Never silently add work to the invoice.

After the work

  • Test the system through a full cycle and record final readings
  • Take after photos
  • Walk the customer through what you did and why
  • Note recommended follow-up work or a maintenance reminder
  • Invoice the same day and request a review once paid
